Property file review: a preparation checklist for overseas Pakistanis.

A lawyer can assess a property matter more efficiently when the asset, ownership record, payments, authority and timeline are presented as one coherent file.

Overseas clients often have documents stored across several phones, email accounts and relatives in Pakistan. Before asking for a legal opinion or authorising a local step, build one reliable digital file. The purpose is not to decide the law yourself; it is to give counsel a complete record from which the legal position can be checked.

1. Identify the exact property

Write down the project, society or locality; plot, unit or file number; size; phase or block; city; and any registration, allotment or membership number. If two documents describe the property differently, flag the difference instead of silently choosing one version.

2. Collect the ownership and allocation record

Gather the documents that show how the interest was created or transferred. Depending on the matter, this may include an allotment letter, transfer letter, sale agreement, registry, mutation-related record, possession letter, membership papers, authority correspondence or earlier chain documents. The relevant record varies by property and forum.

3. Build the payment trail

Place receipts, bank transfers, instalment schedules, invoices and written acknowledgements in date order. If any amount was paid in cash, identify who received it, when, why and what proof exists. Note any amount still disputed rather than trying to reconcile the figures without evidence.

4. Check who has authority to act

If a relative, agent or attorney is dealing with the matter, include the document under which that person claims authority and a copy of their identification. The proposed powers should match the work required. A general description such as “handle everything” is not a substitute for reviewing the actual authority document.

5. Write a one-page chronology

List the important events in date order: booking or purchase, payments, promised delivery, possession, correspondence, demands, notices, meetings and the latest development. Separate what you personally know from what another person reported. This allows counsel to identify missing facts and possible deadlines.

6. Preserve communications and current status

Save important emails, letters and complete message threads where they explain promises, demands or admissions. Record who presently holds the original documents and whether any case, complaint, inquiry or notice is already pending.
